Terms and Conditions

AGE OF ADMITTANCE

We accept children from 3 months – 5 years old (2yr+ at Rosary) and during the school holidays we run a play scheme for primary school children at our site in Stratford Park. We also accept children from The Rosary into our After School Club (ASC)

HOURS OF OPENING

The Nursery opens from 8.00am until 6.00pm, Monday to Friday all year around (Term Time only at The Rosary.) We close on Bank Holidays and from 24th December until 1st January inclusive. No fees are due when we are closed.

SETTLING IN

BarBar Nursery Ltd has a settling in policy and we work with parents/carers to settle your child comfortably into the nursery. We firmly believe that parents know their child best! To this end we work with parents to settle their children with the appropriate amount of settle sessions as required for the child i.e. Pre- registration visits are encouraged and parents are welcome to stay with their child in the nursery until they feel happy to leave them in our care.

DROP OFF AND COLLECTION OF CHILDREN

Children should be delivered by parents/carers into the care of a nursery teacher and signed into their individual attendance register by a staff member. Children will not be released into the care of anyone other than those named on the registration form unless authorised by the parents personally, by telephone or in writing. A personal introduction by the parents of anyone named on the registration form as collecting the child is encouraged. A password system of authorisation is in place in case collections are needed in an emergency or in case staff do not recognise a particular parent/carer who has come to collect a child for safety and security purposes. These passwords are set at time of registering your child and are kept on file. Parents are required to sign their child out of the setting every day.

MEALS

Children are provided with drinks and snacks at regular intervals – mid morning and mid-afternoon where milk is also provided. In all rooms, children also have individual labelled water bottles which they can access and help themselves to all day. Children who stay over the lunchtime period have a delicious hot meal cooked on site by our nursery chef- excluding The Rosary where they will need to be sent with a packed lunch and a drink- it is advisable to make this no more than 4 hours before consumption and to put a small cool/ice pack into the box. We do not have refrigeration facilities for lunchboxes. Lunch time is at 12 noon.

BABY MILK

Formula bottle feeds should be supplied, and labelled by the parents daily; they are prepared as and when needed by our staff.

NAPPIES

Parents need to provide a supply of nappies and wipes for their child, along with any creams required. These are then labelled and stored for your child’s use only

CLOTHING

Parents are requested that children’s clothing is labelled and that at least two sets of spare clothing, including socks and shoes, is kept at the nursery in case of accidents. Children need to have shoes for indoor play (e.g.slippers) and shoes for outdoor play (e.g. wellies or trainers). Outdoor clothing e.g. wellies should be provided as appropriate to the weather conditions. We provide all in one waterproof suits for outdoor play and provide fluorescent jackets for occasional use by the children when we leave the nursery. Nursery uniform is available to order, however if parents choose not to purchase these items, then older clothes are best for nursery play! Parents are requested to send their child with sun hats and sun-cream during the summer months – children will not be able to play outside in the sunshine without these things being provided. To avoid allergic reactions we ask that parents provide a suitable sunscreen for their child.

ABSENCE

Parents are asked to notify the nursery as early as possible if their child will be absent through holidays or sickness. All absences are chargeable. In the event of absences we cannot refund fees or offer alternative sessions. If children are expected in and we have not heard anything from parents/carers, a courtesy call will be made to follow up their absence and the absence documented- repeated absences without notification may be charged.

AFTER SCHOOL CLUB

Our After School Club is offered to children who attend The Rosary School. Children are collected at the end of their day by one of the nursery teachers and walked back to nursery where they are then given a light snack and activities are offered to suit their age and interests

CONTRACTS

We offer parents two contract option choices at BarBar; this makes us unusual from most other nurseries.

Term time only option- fees are due for every day that your child is booked in during the school term times (190 days.) Our term dates are notified to you every September- additional sessions may be booked subject to availability. We follow the school term dates of The Rosary School in Stroud at all of our settings.

All year contract- fees are due for every day that your child attends as long as the nursery is open. We are closed on 24th December and re-open at the beginning of January (in accordance with term dates.) We do not charge any fees for this period. Times of absence for your family holidays are charged at the normal rate.

Invoices are raised and emailed to parents/carers mid-month for the following month and the full invoice amount is to be paid by 1st of the month. A late charge will be added to invoices that are paid late in any given month.

Payments should be made directly into our bank account.

We also accept payments through the tax free childcare scheme and from child care vouchers for example-Accor, Busy Bees, Kiddi Vouchers etc..  It is parents/carers responsibility to ensure payments from voucher providers and childcare schemes reach us by 1st of the month.

Late payment of fees will constitute a breach of the childcare contract. A child’s place will be suspended until all fees are settled. Should fees not be settled, a child’s place will be terminated and fees will remain due for the notice period.

REGISTRATION

A child requiring a full- time place will usually have preference over one requiring a part time place. Fees are reviewed annually on 1st April.

  • There is a one –off non-refundable administration fee of £60.00 per child to be paid at registration- this covers up to 4 hours of settling in sessions. All children must have a completed registration form before they can start at BarBar Nursery
  • To hold a place longer than two weeks, a £140.00 fee is payable. This secures the sessions for the child and ensures that the times are held for you.  The £140.00 is deducted from the first month’s fees. If your child does not attend or the place is cancelled this £140.00 is forfeited.
  • No fees are charged when the setting is closed- i.e. Bank Holidays, 24th December & the period between Christmas and the New Year. We open during snow for which fees are chargeable
  • Children who attend nursery sessions covered by the Government’s Nursery Education Funding – the grant does not cover meals, snacks  and sundries which are chargeable
  • Payments are due for all sessions booked regardless of attendance- sickness & holiday absences are chargeable
  • Any sessions booked on an ad hoc basis must be paid for at the time of booking
  • Late collections (15 minutes or more) are charged for each block of 15 minutes @ £10.00 per block of time.
  • A minimum of two sessions (10 hours per week) is required for all places

NOTICE

Two months’ notice in writing must be given when terminating a childcare place or an alteration of days of attendance. We will accommodate parent’s needs wherever possible but cannot guarantee that a full time place can be reduced to a part time, or that a part time place can be increased to a full time place. We give two months notice when we increase fees.

CHILDCARE RECORDS

In the interest of your child’s care and safety, all nursery records relating to your child must be completed and returned to the nursery prior to your child’s start date. Failure to do so would result in us being unable to accept your child into our care.

ILLNESS/ACCIDENT

Any child who is unwell should not be brought to the nursery and we reserve the right to refuse to accept him/her into our care until we are satisfied that they are either feeling better or not infectious to the other children; this is to protect the other children and our staff in the nursery from cross infection. Antibiotic medicines will only be administered by nursery staff after the child has been taking them for more than 48 hours at home and only on written authorisation from parents.

If a child is taken ill or injured, First Aid will be administered by the nursery teachers and the parent will be advised. (All nursery teachers are First Aid Trained and attend regular update training) All accidents will be recorded on an Accident sheet and the parents will be asked to sign the form on collection. We will always contact you if your child obtains a head injury with us to make you aware prior to collection, and we will continue to monitor behaviour whilst your child is on site. If your child requires emergency treatment, the nursery reserves the right to take him/her to hospital, informing the parents as soon as possible. Parents must notify staff of any allergies or relevant medical information including any serious medical condition that their child has experienced. This information will help us to care for your child. Calpol will only be administered to your child in emergency situations once all other measures have been carried out

DISCIPLINE

BarBar Nursery Ltd has a written policy available to view on behaviour management. The use of any form of physical chastisement, verbal humiliation, or aggressive handling of a child is not acceptable. We encourage positive behaviour in the children and our staff act as role models.

BarBar Nursery Ltd reserves the right to make amendments to their terms and conditions and policies and procedure. We endeavour to give one month’s notice of any financial or significant other changes.

CAR PARKING

Parents are welcome to use the car park by the Nursery, but the Nursery cannot accept responsibility for subsequent injury or loss to persons or property. Please supervise your child in the car park as it can become busy at times.

  • At Quedgeley, please enter the car park (when looking at the premises from the road) by the left hand driveway and exit by the right hand driveway.
  • At the Rosary, parking is permitted at Tesco- there is no on site parking.
  • At Stratford Park there is free car parking in the council car park for the park & Leisure Centre
